First: which account?

Three different things are called "my account", and they end in three different ways.

Your own user account

A planner, administrator or office user who signs in at their employer’s Orin environment.

Who ends it: Your own administrator can remove you immediately. Write to us if they cannot, or if you want the personal data behind the account erased as well.

A driver account

A driver who signs in to the driver app with a phone number or company code and a PIN.

Who ends it: The transport company you drive for. We act on a request from you, but we tell them, because the account is in their environment.

A whole company environment

Everything a transport company has in Orin: its users, its data, its subscription.

Who ends it: Only an authorised person at that company, and it is a cancellation under the Terms rather than a deletion request. See the last section.

Making the request

Write to us from the e-mail address registered on the account. If you cannot use that address, write anyway and say so: we will verify you another way rather than refuse, and we will never ask for a copy of an identity document unless there is no other option.

Tell us your name, which of the three accounts above you mean, and the company whose Orin environment it is in. A driver can give a phone number instead of an e-mail address; drivers often have no e-mail on the account at all.

What happens, and when

We confirm and verify (1 to 2 working days)

We reply to say we have it, and we establish that you are who you say you are. Verification is complete when we have confirmed the request from the registered address, or through the transport company for an account without one. Nothing is deleted before that point.

Access is switched off

Your login stops working, on the same working day as verification. Export anything you still need before this step.

Deletion (within 90 days)

Your personal data is removed from live systems, and from backups as those fall out of rotation, which is where the 90 days comes from. Anything in the table below is kept for the reason and period stated there and for nothing else.

Download anything you want to keep before step 2. Once access is switched off we cannot hand you an export of the transport company's records, because they are not ours to give. Personal data we hold about you we can still provide on request at any time.

What gets deleted

  • Your account record: name, e-mail address, phone number.
  • Your login credentials, including your PIN, and every device registered to you.
  • Your preferences, notification settings and saved views.
  • Your personal activity trail, beyond what has to be kept for the reasons in the table below.

What is not yours to delete

Proofs of delivery, trip and shipment history, signed CMRs and invoices are the transport company's business records, not personal files in your account. They stay with that company, which is the controller for them, and which has its own legal reasons to keep them: a POD is evidence that a delivery happened, and a transport company may need it years later.

Your name and contact details can be removed from those records, or replaced with a reference, where doing so does not destroy their evidential value. If you want that, say so in your request and we will put it to the company as controller.

Anonymised and restricted are not the same thing and the table says which is which. Anonymised means your identity is gone and cannot be recovered. Restricted means the record still contains your data but only a named few can reach it, and only for the reason stated.

Deleting something specific instead

You do not have to delete the whole account. Ask us to remove a registered device, a phone number, a notification setting, or particular photographs you appear in. A request like this is assessed together with the transport company whose environment it is, because they may have an obligation to keep the record you are asking about. We tell you the outcome either way, with the reason.

Does deleting my account end the subscription?

No, and that catches people out. Deleting your user account removes you; it does not cancel the company's subscription, which keeps running and keeps being invoiced. To end the subscription, an authorised person at the company cancels it under section 12 of the Terms and Conditions. If you are the only administrator and you delete yourself, the company can lose access to its own account, so hand the role over first.

Your rights

Erasure is one of several rights you have under GDPR: access, correction, restriction, portability, objection and withdrawal of consent are the others. The Privacy Policy sets them out in full, including who to send a request to when the transport company rather than Orin is the controller. Erasure is also not absolute: where a record must be kept by law, the right does not override that, which is what the table above is about.
